Event Photography at the Hotel Grand Chancellor Hobart

01 / Overview

A pillar-free room 35 metres square, 5.2 metres to the ceiling, and not one blocked sightline: the Federation Ballroom is the main reason so many national conferences choose the Hotel Grand Chancellor Hobart. Put a 1,100-seat tiered plenary beside it, add two levels of breakout rooms, and you have the Hobart Convention and Exhibition Centre — the room set we photograph more often than any other in Tasmania.

Working the Federation Ballroom's clear span

No pillars across 1,225 square metres means we can shoot long. From the back wall, a 200mm lens reaches the lectern cleanly over 770 gala guests on rounds, so speeches get covered without a photographer hovering at the stage lip. In cocktail mode the room holds 1,000, and the 5.2-metre ceiling takes stage wash and moving heads well — we expose for the lighting design rather than fighting it. For awards nights we run two shooters: one locked on the podium and screen for every winner, one working the tables between courses so sponsors see full rounds, branding and genuine reactions in the 48-hour gallery.

When the plenary moves into tiered seating

The centre's plenary sessions run in the largest tiered auditorium in Hobart, which changes the plan entirely. Tiers are a gift for audience shots — depth, stacked faces, no sea of backs-of-heads — but stage light is warm and the house is dark, so we shoot fast primes at high ISO and never fire flash during a keynote. Cross-aisles give us clean lateral angles on the speaker; a locked-off camera at the rear records the widescreen view for the highlight reel. If you're live streaming the opening, we coordinate positions with the AV desk so nobody crosses a broadcast lens.

Breakouts, booths and glass on the harbour

The Grand Ballroom splits into three equal rooms on operable walls, handy for concurrent-session coverage on a single brief. The two Harbour View rooms are the building's best-kept secret for photography: floor-to-ceiling glass along the waterfront pours soft daylight in, which is why we set headshot booths there — delegates queue in the mezzanine flow, and we turn around 40-plus corporate portraits an hour against that light. In expo mode the Federation Ballroom takes 70 trade booths; we sweep the aisles at peak breaks so every exhibitor appears mid-conversation, not standing beside an empty stand. And with Sullivans Cove a two-minute walk from the lobby, board and team photos happen on the waterfront without losing anyone for long.

Questions organisers ask about shooting the Grand Chancellor

Where does a headshot booth work best during a conference here?+

Harbour View One. The floor-to-ceiling glass on two walls gives us soft, flattering daylight most of the day, and its position off the mezzanine means delegates drift in between sessions without shepherding. We bring a backdrop and lighting anyway, so late-afternoon winter bookings lose nothing.

Can one team cover the plenary and the exhibition floor simultaneously?+

Yes — that's the standard two-photographer build for this venue. One stays on the auditorium for keynotes and panels, the other works booths, activations and candids across the ballroom level. We share a shot list and radio, so sponsor commitments never depend on a session finishing on time.

How do you handle the lighting jump between rooms?+

The tiered plenary runs warm stage light in a dark house; the ballroom runs event lighting; the Harbour View rooms are pure daylight. We white-balance per room and shoot bodies rated for high ISO, so your gallery looks consistent even though the building isn't.

Can we post photos the same day?+

We offer same-day edits at the Hotel Grand Chancellor regularly — a curated set delivered during the afternoon break for socials and sponsor decks, with the full edited gallery following within 48 hours. Tell us your posting schedule and we'll time the handovers to match it.
