Ballroom Le Grand, from plenary to gala in one afternoon
The hotel's centrepiece is entirely pillarless — a rarity that matters enormously to photographers, because no column ever blocks a sightline to the stage. Ballroom Le Grand seats up to 580 for dinner and takes over 1,000 theatre-style or cocktail, and it divides into three self-contained rooms for concurrent sessions. Our standard conference setup mirrors that flexibility: a photographer per active room during breakouts, consolidating to a two-camera plenary crew for keynotes, with video capturing every session from tripod positions agreed with the in-house AV team.
The famous Sofitel trick is the same-day flip — plenary by day, gala by night. We photograph the ballroom fully styled in the gap between rehearsal and doors, because that empty-room hero shot is what sells next year's sponsorships.
The quiet advantages of shooting above Central Station
Logistics shape galleries more than clients expect. Because the hotel sits on top of Central Station, interstate speakers and delegates arrive without transfers, which means arrival and networking coverage actually starts on time. Being mid-CBD also makes the Sofitel our most common base for multi-venue programs — an offsite dinner or partner event elsewhere in the city is minutes away, and one crew can cover both. Inside, the conference floors keep pre-function areas close to the ballroom, so sponsor banners, barista carts and catering moments all sit within a short lens-change of the main room.
Headshots, streams and the 48-hour gallery
Conferences here increasingly book a headshot booth: we set a lit corner in the pre-function space and photograph 100+ delegates over the breaks, delivering retouched LinkedIn-ready portraits with the main gallery. Plenary sessions can be live streamed or recorded for post-event content libraries, and our standard delivery — a fully edited gallery within 48 hours, with overnight turnaround on keynote selects — is built for organisers publishing while the event still has momentum.

Can you cover three concurrent breakout rooms when the ballroom is divided?+
Yes — that's precisely when we scale the team. One photographer per active section keeps coverage even across all streams, and because the sections share the pre-function spine, a floating videographer picks up transitions, sponsor stands and candids between rooms without missing session content.
How do you photograph the gala without disrupting dinner?+
Long lenses from the room's perimeter during courses, moving through tables only between them. The pillarless span means we can shoot the stage cleanly from the back of the room, and awards moments get a locked camera on the presentation mark plus a roamer for winner reactions.
Where do delegate headshots happen?+
In the pre-function area outside Ballroom Le Grand, where traffic naturally flows during breaks. We bring backdrop and lighting, need roughly three by three metres, and photograph a delegate every 60–90 seconds — a full conference's worth of polished headshots without pulling anyone from sessions.
Our agenda runs to 10pm — when do we get images?+
Keynote and awards selects can be delivered overnight for morning publication, with the complete edited gallery inside 48 hours. If your social team posts live, we can push a batch of edited frames during the event itself — just tell us the schedule.
